Scope: This Privacy Policy describes how OneTeam360, Inc. ("we," "us," "our") collects, uses, and protects personal information — including mobile phone numbers — in connection with the OnBoard360 HR onboarding platform (https://www.onboard360.app) and its onboarding notification service. It does not apply to OneTeam360's separate marketing or website-inquiry programs, which are governed by their own privacy terms.

Who This Applies To

This policy applies to new hires ("you") who are invited by their employer to create an account on the OnBoard360 app to complete their onboarding process.

Information We Collect

When you register for an OnBoard360 account, we collect:

Name and contact information, including your mobile phone number
Employment and onboarding data, such as your employer, start date, and onboarding step completion status
Account credentials you create during registration
Device and usage data, such as IP address and app activity, collected automatically to operate and secure the platform

How We Use Your Information

We use the information above to:

Create and manage your OnBoard360 account
Send you onboarding-related SMS and/or email notifications, including welcome messages, step reminders, progress updates, and account/verification notices
Verify your identity and secure your account
Provide support when you contact us
Comply with legal obligations

SMS Consent and Mobile Phone Number Use

You provide and confirm your mobile phone number directly within the OnBoard360 app during your personal account registration. Before any messages are sent, you are shown an SMS consent disclosure describing the types of messages you will receive, and you must affirmatively opt in.

Your mobile phone number and SMS opt-in/consent data are used solely to deliver onboarding notifications to you and are not sold, rented, shared, or otherwise disclosed to third parties or affiliates for their own marketing or promotional purposes. We may share this information only with service providers who help us deliver SMS messages on our behalf (such as our SMS/telephony vendor), under confidentiality obligations, or as required by law.

Who We Share Information With

Aside from the mobile/SMS data restriction above, we may share your information with:

Your employer, who invited you to OnBoard360 and administers your onboarding
Service providers who help us operate the platform (e.g., hosting, data storage, customer support tools), under confidentiality obligations
Courts, regulators, or law enforcement, if required by law
A successor entity, in the event of a merger, acquisition, or sale of assets

We do not sell your personal information.

Data Retention

We retain your onboarding account information for as long as your account is active or as needed to fulfill the purposes described in this policy. If you leave your employer or your account is closed, we will delete or anonymize your personal information within a reasonable period, unless we are required to retain it for legal or compliance purposes.

Your Choices

Opt out of SMS: Reply STOP to any onboarding text message at any time.
Access or correct your information: Contact us using the details below.
Delete your account: Contact us or your employer's HR administrator.

Children's Privacy

OnBoard360 is intended for use by individuals who are employees or prospective employees and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

Security

We use commercially reasonable administrative, technical, and physical safeguards designed to protect your personal information. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

Changes to This Policy

We may update this policy from time to time. If we make material changes, we will notify you through the app or by other reasonable means and update the "Last updated" date above.
